Designed as a companion tool to our Metrc sales compliance alerts, the compliance dashboard makes it easy for you to identify and resolve common Metrc errors. 1. Reviewing compliance errors

Before you start:
▪  You must have KlickTrack app version 2.8.6 or higher to access this functionality.
▪  Dashboard is best viewed on a desktop or iPad device; it is not optimized for mobile.
▪  Please note that the times currently listed in the compliance dashboard show as GMT rather than CDT. We are working to resolve this issue, in the interim, please adjust accordingly. (GMT is 5 hours ahead of Central Daylight Time)

 

Conveniently located at the top of the KlickTrack dashboard menu, our new compliance dashboard is comprised of 3 main sections:

 

Package Tags

This section contains a list of all the products that KlickTrack has been unable to match to an item in your active inventory.

 

Each error card in this section shows a product SKU that cannot be matched to an item in your Metrc inventory.

 

🗒 At this time KlickTrack is working to resolve issues with the information shown in the Package tag compliance section.

 


Sales

This section contains a list of all the recent sales that have failed to report to Metrc.

 

The error cards in this section are shown in reverse chronological order, with the newest sales errors at the top and the older sales errors below.

 

Each error card contains a full list of items that were part of the failed sale. Additional information found on each sales error card includes:

 

  • The date and time the error occurred

  • KlickTrack Sale ID

  • The name of the employee associated with the register

  • The name of the manager who approved the sale override 

  • The name you have given the product in KlickTrack

  • KlickTrack Purchase SKU / Metrc package tag ID

  • KlickTrack Package SKU / Register SKU

💡 Tip: You can utilize the KlickTrack sale ID to locate the sale in KlickTrack via the Sales & Returns page (located under store management in the back office) or in the Master Transaction report.

 

Important Note: When we submit a sale of cannabis products to Metrc, their system will only accept a sale in it's entirety if every cannabis item has valid Metrc tags. If Metrc is unable to match a tag from the sale in KlickTrack to an item in your Metrc inventory, it will fail to record part or all of the sale. (If the non-compliant item is not the first item in a transaction, Metrc will often record a partial sale)

 

As such, each sales reporting error card in our compliance dashboard contains the complete list of items from the failed sale. In light of that, we recommend reviewing each item in the sale (excluding any non-canna items listed) to discern which items are non-compliant so that you can avoid this error in the future.

 


Archived

This section contains a list of all the errors that you have archived.

 

Errors in Package Tags and Sales can be moved to this section by clicking the “Archive” button in the upper right corner of the error card.

 

Cards in this section can be moved back to their original section by clicking the “Unarchive” button.

 

 

2. Common compliance errors and how to resolve them

Outlined below are the most common compliance errors we’ve seen and our suggestions for resolving these issues. If you cannot identify the cause of an error, please reach out to the KlickTrack Support team so that we can help you identify the origin of the issue and provide insights on resolution.

1. Metrc package tag identification number is in the incorrect SKU field in KlickTrack.

How to resolve:

Contact KlickTrack Support and request that the product Metrc package tag ID be swapped to the correct SKU field. Please include the following information in the ticket:

  • Shop Name
  • Product Name
  • Package SKU
  • Current Purchase SKU
  • NEW Purchase SKU (i.e. what you want the SKU updated to)

How to avoid this error:

The preferred and most compliant way to bring inventory into KlickTrack is by syncing your manifest with Metrc and accepting it in KlickTrack.

However, if you cannot bring in the inventory via a Metrc sync, then ensure that you enter the Metrc package tag ID into the correct SKU field when creating a manual manifest. Metrc package tag ID’s go into the Purchase SKU field, not the package SKU field.

 

 

2. The Metrc package tag ID number does not match 1:1 in KlickTrack and Metrc.

How to resolve this error:

  1. Locate the typo / incorrect character
  2. Reach out to KlickTrack Support and request that the product Metrc package tag ID be updated. Please include the following information in the ticket:
    • Shop Name
    • Product Name
    • Package SKU
    • Current Purchase SKU
    • NEW Purchase SKU (i.e. what you want the SKU updated to)

How to avoid this error:

The preferred and most compliant way to bring inventory into KlickTrack is by syncing your manifest with Metrc and accepting it in KlickTrack.

 

However, if you cannot bring in the inventory via a Metrc sync, double-check every Metrc package tag ID in your manual manifest before you save to ensure there are no typos. KlickTrack cannot report product sales to Metrc if the numbers do not match 1:1.

 

3. The package tag is not found in your active Metrc inventory because part, or all, of the package, was transferred out of your shop.

How to resolve this issue:

If this is the root cause of your error, you will need to reach out to your OMMA compliance officer and Metrc on how to resolve it best.

 

How to avoid this issue:

Before you make an outbound inventory transfer, you should create a child package in Metrc so that the items you have previously sold and / or intend to keep on hand can still be associated with you.

 

If you transfer the package out without creating the child tag, then the package tag ID transfers to the recipient, and you will no longer be able to report against this package.

 

4. The package tag is not found in your active Metrc inventory due to the package never being received in Metrc.

How to resolve this issue:

If you have not sold or adjusted any inventory from this package, then all you will need to do is receive the package in Metrc, so it’s part of your active Metrc inventory. (If you already accepted it in KlickTrack, then you do not need to do so again)

 

If you have previously sold items from this package, please reach out to KlickTrack support so that we can work with you to find the best possible resolution.

 

How to avoid this issue:

You must receive the package in Metrc first before accepting it into KlickTrack.

 

If you do not receive the package in Metrc, then the inventory will not be associated with your “active Metrc packages,” and we will be unable to report activity on this item to Metrc.

 

5. The product’s unit of measure differs between KlickTrack and Metrc.

How to resolve this issue:

The resolution for this issue varies based on which system the error lives in and the level of correction needed. If you identify this as an issue, please get in touch with KlickTrack Support so we can work with you to provide the best possible resolution.

 

How to avoid this issue: 

When you receive product in Metrc and KlickTrack, make sure the unit of measure is:

  • Appropriate for the product type
  • Consistent across both systems

Different units of measure across the systems will result in data discrepancies that will make it hard to reconcile your Metrc account and could result in a compliance audit.

 

5. General API Error

Why this error occurs:

It is not unheard of for Metrc's API to occasionally be slow, unresponsive, or even go down. Unfortunately, these API issues can result in a sale failing to submit to Metrc. If you have reviewed all of the items in a sale and confirmed that they valid Metrc items that are part of your active inventory, then this may be the cause of the failed sale.

 

How to resolve this issue:

In this instance, we recommend submitting the sale manually to Metrc so that a sale record exists in both systems.
