How to set up and utilize the sales compliance alerts (Oklahoma Only)

State compliance is a fundamental concern for every dispensary owner. At KlickTrack, we want to help ease some of that concern by helping you prevent the sale of untagged inventory. Designed to be used with our new compliance dashboard, the sales compliance alert messages make it easy for you to identify a potential sales compliance violation before you complete the transaction.

Before you start:
▪ You must have KlickTrack app version 2.7.8 or higher to access this functionality.
 Users must have Manager or Admin capabilities to access the App Settings panel.

 

1. Enabling sales compliance alerts

⚠ Note that the sales compliance alerts are disabled by default. If you wish to utilize this feature, you must toggle off the “Disable All Register Compliance Warnings” setting using the instructions below.

 

  1. Log into KlickTrack and go to the App Settings panel.

  2. In the app settings panel, go to the Manager Override security settings.

  3. In the Manager Override settings panel, you will find two settings that can be enabled or disabled.

 

Setting 1: Required to Allow Sales on Compliance Warnings

Enabling this setting will allow a Manager or Admin to enter their pin and override a sales compliance warning to proceed with a transaction.

 

Setting 2: Disable All Register Compliance Warnings

Disabling this toggle will allow you to turn on the register sales compliance alerts. 
*Please note that the system default is for the sales compliance warnings to be disabled. 

 

Remember that compliance violations can result in fines, license suspension, or even revocation. If your license is suspended or revoked, KlickTrack will be unable to continue to provide you with business services via our apps.

 

2. Managing sales compliance alerts

Triggering a sales compliance alert.

Each time a product is added to a cart, KlickTrack calls the Metrc API to validate that the item has a valid, matching SKU in Metrc. If Metrc cannot match the package tag ID sent by KlickTrack to an item in your active Metrc inventory, it will send us back an error.

This error from Metrc triggers the sales compliance alert to appear at the KlickTrack register.

Types of sales compliance alerts.

The sales compliance alert message you receive at the register will depend on the settings you have enabled.

 

1. Metrc compliance alert with manager override functionality:

If you have toggled on the "Allow sales on compliance warnings" setting, the message received at the register will allow you to proceed with the sale by clicking the "Add Anyway" button and entering a manager override pin.

 

Clicking “Cancel” will close the modal without adding the item to the register cart.

 

 

We recommend that you only move forward with this sale if you know that the Metrc package tag ID for the item in question is valid.

 

2. Metrc compliance alert with no manager override.

If you do not have the manager override setting enabled, then the message you receive at the register will inform you that the item cannot be added to the cart.

 

Clicking “Close” will close the modal without adding the item to the register cart.

 

 

Regardless of the alert received, you can locate the specific error and corresponding product in the error lists found in the compliance dashboard.

3. Resolving Sales Compliance Alerts

If you receive a compliance alert at the register, you will need to identify why the product in question has generated a sales compliance warning and take steps to resolve the issue. Our recommended path forward is as follows:

  1. Go to the KlickTrack dashboard > Metrc compliance dashboard. (link here)

  2. Click on the “Sales” option in the compliance dashboard sub-navigation.

  3. Locate the sale in your list of errors and investigate the source of the problem. Here are some tips on how to triage the issue:

Does the item’s Metrc package tag id match 1:1 across both KlickTrack and Metrc? As a reminder, the Metrc UID will start with “1A” and contain 24 alpha-numeric characters.

 

In KlickTrack, is the Metrc package tag id in the correct SKU field? It should be in the Purchase SKU field, not the package SKU field.

 

 

Was this product created as a split-lot of another package? If so, has all of the information been brought into KlickTrack?

 

Is the package for this item still active in your Metrc account? If not, did you recently transfer items from the package or the package itself?
